Sync item statuses
Track individual item sync states between Notion and your apps
Each item synced by 2sync has its own status that tracks its relationship between Notion and the connected app. By mapping the Sync Status field to a Notion property, you can see at a glance which items are active, excluded, or disconnected.
What are sync item statuses?
When you map the Sync Status field in your automation, every synced Notion page gets a status value. This field updates automatically as items move through the sync lifecycle.

How do items transition between statuses?
Synced to removed
When an item is deleted in the external app (or in Notion with deletion disabled), the linked item changes to Removed. The remaining page stays intact but no longer receives updates.
Synced to ignored
When you add or modify filters, previously synced items that no longer match become Ignored. They keep their data but stop syncing until filters change again.
Unselected calendar, list, or asset
If an item belongs to a calendar, list, or asset that is not checked in the Calendar Connections or asset picker, 2sync syncs it once and then leaves it as Ignored on subsequent cycles. Re-selecting the calendar or list in the automation transitions its items back to Synced, and updates resume on the next cycle.
Ignored to synced
If you remove or adjust a filter so that an excluded item now matches, it transitions back to Synced and begins receiving updates again.
Read only behavior
Items marked Read Only sync changes in one direction based on your field mapping configuration. Edits on the read-only side do not propagate back.
How to use sync status effectively
Map the field
- Open your automation's Field Mapping
- Click + Add Field
- Select Sync Status
- Map it to a Select property in your Notion database
Filter your Notion views
Create filtered views in Notion to organize items by status:
- Active view: Filter where Sync Status equals "Synced"
- Cleanup view: Filter where Sync Status equals "Removed"
- Excluded view: Filter where Sync Status equals "Ignored"
Use a filtered view hiding Removed and Ignored items as your default database view. This keeps your workspace clean while preserving historical data.
Clean up removed items
Items with Removed status are safe to delete from Notion. They are no longer connected to the external app. Periodically review your Removed items and delete them to keep your database tidy.
Create a recurring monthly reminder to review items with Removed or Ignored status. Periodic cleanup keeps your Notion database focused and prevents stale items from cluttering your views.
Why is an item showing as ignored?
The most common reasons, in order of frequency:
- The item belongs to a calendar, list, or asset that is not checked in the automation (see how to select multiple calendars)
- A filter condition excludes the item (e.g., calendar name does not match)
- The item falls outside your configured time window
Check your Calendar Connections panel first, then review your filter settings and time window configuration if items are unexpectedly Ignored.

FAQ
Do I need to map Sync Status?
It is optional but recommended. Without it, you cannot see individual item states in Notion. Mapping it gives you visibility into which items are active, removed, or excluded.
Can I manually change an item's Sync Status?
No. Sync Status is managed automatically by 2sync. Manual changes are overwritten on the next sync cycle. Use filters to control which items sync.
What happens to Removed items if I re-enable the source?
If the source item is restored (e.g., recovered from trash), 2sync may create a new synced entry rather than reconnecting the old Removed item. The Removed page remains as-is.
Does Ignored mean the item is deleted?
No. Ignored items still exist in both platforms. They simply do not receive sync updates because they do not match your current filter or time window settings.
Why are items from a specific calendar showing as Ignored even though I have no filters?
The calendar is likely not checked in the Calendar Connections panel of your automation. 2sync only syncs items from calendars you have explicitly selected. Open the automation, expand Calendar Connections, check the calendar in question, and save. Its items will transition back to Synced on the next sync cycle.
